Behind The Scenes at the Natural History Museum
Event planning is dynamic.
Months of planning happen over emails, phone calls and site visits, but there comes a point where all of that preparation has to become reality.
This photo was taken moments after the Natural History Museum had closed its doors to the public. Around us, teams of expert suppliers were transforming Hintze Hall from one of London’s most visited museums into a world-class event venue.

Tables were being brought in, staging was still being built, lighting and AV teams were rigging equipment, caterers were setting up, florists were dressing the room, and every supplier was working against the clock before the first guests arrived. It’s an exciting environment, but it’s also where experience matters most.
There isn’t a stage to rehearse on yet. The route you’ve planned may suddenly change. Timings shift. New challenges appear. Maintaining clarity in a fast-moving environment, communicating effectively and ensuring every decision continues to support the client’s original vision is what turns months of planning into a seamless guest experience.
For this event, that meant welcoming guests with eight fanfare trumpeters at the museum’s main entrance before transforming into a full ceremonial production inside Hintze Hall.
As the evening began, our marching band processed from either side of the Grand Staircase, past Charles Darwin and beneath the museum’s iconic 25-metre blue whale skeleton, escorting Dr. Nitish Chandra Dubey to the stage before opening the ceremony with Rule, Britannia! and Land of Hope and Glory.

From there, Simon Green expertly guided the awards as toastmaster while our brass ensemble provided live musical stings for every winner as they made their way to the stage.
One of the things that makes the Natural History Museum such an extraordinary venue is the speed at which it transforms. The museum closes to visitors at 5:50pm and, within little more than an hour, one of London’s most spectacular event spaces is ready to welcome hundreds of guests.
That only happens because of exceptional venue teams, trusted suppliers and people who know how to adapt when the plan inevitably evolves.
A pleasure to work alongside Burnett Homeopathy, Pankaj Bhatkar, Aishwarya Verma, Sunny Suri and Matilda Herberte. A special mention also to Madhu’s and Atul Sharma, who looked after the crew with one of the best meals we’ve had all year.
The best events aren’t defined by the entertainment, the catering or the venue alone.
They’re defined by a team of trusted suppliers who share a vision, solve problems together and deliver an experience that feels effortless for every guest.
Pankaj Bhatkar says;
"It was a real pleasure working with you on this event. Thank you for helping make it such a memorable occasion. Your team's attention to detail and seamless execution added a level of professionalism that everyone appreciated. I would happily recommend Mayfair Entertainment Ltd to anyone looking to deliver a truly world-class event. Looking forward to collaborating again soon."
